To analyse space utilisation, user behaviour, compliance with membership plans, and other operational metrics, we collect, process, and use data from access control systems. This includes, but is not limited to, information about when and where you enter or leave our premises. Such data may also be provided to us by third parties.

We may also collect information about you from other sources, including third parties. To provide you with tailored recommendations, we may obtain information from publicly available and commercially available sources, where permitted by law.

If we obtain your data from public registers, we will inform you within one month of the collection.

3. COOKIES AND OTHER TECHNOLOGIES

We also collect information such as usage statistics through cookies, server logs, and similar technologies.

Log Information: We collect log information relating to your use of our services and platforms, including browser type; date and time of access; duration and frequency of visits; pages viewed; IP address; and the webpage visited before accessing our platform.

Device Information: We collect information about the computer or mobile device you use to access our services and platforms, including hardware model; operating system and version; unique device identifiers; and mobile network information.

b) Pixel Tags

We use pixel tags, which are electronic images that may be embedded on our platform or in emails. These technologies enable us to monitor the use of our platform and measure the effectiveness of our communications.

This website integrates the Website Custom Audience Pixel provided by Facebook Ireland Limited. Through this pixel, information about your use of this website (for example, the pages or articles you have viewed) is collected in pseudonymised form. The information collected may be used for personalised advertising, for example by displaying advertisements for products or product categories that may be of interest to you on your Facebook account.

c) Facebook Social Plugins

This website uses social plugins (“Plugins”) provided by Facebook, operated by Facebook Inc., 1601 S. California Ave, Palo Alto, CA 94304, USA.

The plugins are identified by the Facebook logo or by the words “Facebook Social Plugin”. An overview of the available plugins can be found at:

The European Commission has adopted an adequacy decision for transfers of personal data to the United States, confirming that the United States ensures a level of data protection comparable to that of the European Union.

When you visit a page on our website containing such a plugin, your browser establishes a direct connection with Facebook’s servers. The content of the plugin is transmitted directly by Facebook to your browser and integrated into the website.

By integrating these plugins, Facebook receives information that your browser has accessed the relevant page of our website, even if you do not have a Facebook account or are not currently logged into Facebook. This information (including your IP address) is transmitted directly to Facebook servers in the United States and stored there.

The processing of personal data is based on Section 96(3) of the Austrian Telecommunications Act (TKG) and Article 6(1)(a) (consent) and/or Article 6(1)(f) (legitimate interests) GDPR.

d) YouTube Plugins

Our website embeds videos from YouTube, a service provided by Google Inc., 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA.

When you play a video, a connection is established to YouTube’s or Google’s servers. As a result, these servers are informed which of our webpages you have visited. If you are logged into your YouTube account at the time, YouTube may associate this information with your personal user account.

• customer relationship management (CRM).

f) Bit Carvers

This website uses services provided by Bit Carvers s.r.o., Neklanova 112/9, 128 00 Prague, Czech Republic.

Bit Carvers is an integrated software platform that we use to develop, maintain, and manage our customer database, as well as to administer billing for the services we provide.

4. WITHDRAWAL OF COOKIE CONSENT

5. PURPOSES OF DATA PROCESSING

• Business partners who have commissioned an event, where you participate as an Event Participant;
• Business partners who have commissioned a programme, where you participate as a Programme Participant;

• Other members, where you have provided your consent;
• Third-party providers and service providers supporting the operation and improvement of our services and platforms, including payment processing, email delivery, surveys, competitions, data hosting, advertising management, and technical or customer support;
• Public authorities, where required to comply with legal obligations or to protect and defend our legal rights and property; and
• Affiliated companies or successor entities in connection with a corporate transaction.

Where you have given your consent, we may also publish information about you on our website or through social media channels in accordance with your service agreements and your selected preferences.

We take appropriate measures to ensure that all third-party providers and service providers access, process, and store your personal data only for the purposes authorised by us and in compliance with applicable confidentiality obligations.

8. GLOBAL IMPACT HUB NETWORK / COMMUNITY APP

In addition to connecting with your local Impact Hub community, your membership with Impact Hub Vienna also gives you the opportunity to connect and collaborate with the global Impact Hub network.

To facilitate networking and collaboration at a global level, Impact Hub provides access to its own social networking platform, the Community App.

To create your personal profile within the Community App, we transfer certain information about you to the Community App provider, Impact Hub Zürich AG.

Until you actively register for the Community App, this information is accessible only to the authorised employees of Impact Hub Zürich AG and Impact Hub Vienna.

As a registered member, you can log into both the mobile application and the online platform. Through these services you can:

• manage your personal profile;
• communicate with other members;
• access services made available to you;
• view information published by Impact Hub Vienna; and
• view information shared by other members.

When you are logged into the Community App or the online platform, we may combine your online usage data — including information about how you use the platform, the services you access, and the information you submit through the platform — with other membership data that we collect in connection with your use of our services.

We process this information for the following purposes:

• providing the services and features available within the Community App and online platform;
• marketing activities;
• evaluating and improving our services; and
• developing new products, services, and functionalities.

This processing may continue after you have logged out of the Community App or online platform.

9. FURTHER DETAILS

a) Third-Party Analytics and Advertising Services

With your consent, we may allow third parties to use cookies, web beacons, device identifiers, and similar technologies to collect information about your use of our services, our platforms, and other websites or online services.

b) Data Retention

As a general rule, we retain the personal data we collect for the duration of our business relationship with you or until the expiry of the applicable statutory retention periods.

If you are a current customer, prospective customer, or former customer, we may retain your personal data for marketing purposes until you object to such processing or withdraw your consent.

This Privacy Policy does not apply to information that you provide directly to third parties, including:

• external event or workshop organisers;
• network administrators; or
• any other individuals with whom you choose to share your personal information.

Our services and platforms may also contain links to third-party services, such as social media platforms, or certain parts of our platforms may be controlled by third parties.

Any disclosure of information to such third parties is governed exclusively by their respective privacy policies.

We are not responsible for the privacy practices or the content of third parties, even where we link to their services from our platforms or share information with them.

d) Changes to this Privacy Policy

We reserve the right to amend this Privacy Policy from time to time.

Whenever changes are made, we will publish the updated version and revise the date displayed at the top of this page.

If the changes are material, we will provide additional notice, for example by email.

10. NEWSLETTER

You have the option to subscribe to our newsletter through our website. To subscribe, we require your email address and your confirmation that you consent to receiving the newsletter.

After registering, you will receive a confirmation email containing a link to verify your subscription.

You may unsubscribe from the newsletter at any time by sending your cancellation request to vienna.hosts@impacthub.net.

Once your request has been received, we will promptly delete all personal data relating to the delivery of the newsletter.
